Resume Format for AI Screening

Last verified: November 2026

Short answer

Use a simple, single-column layout saved as .docx or PDF, with standard section headings. Put your name and contact details in the main body, and skip tables and graphics. Greenhouse's own help center lists tables, graphics, columns and contact details in a header or text box as reasons a resume fails to parse. Once the software can read your resume, your real experience decides how you rank.

How AI Screening Reads Your Resume

AI screening happens in two steps.

First, the software parses your file. It pulls out the text and sorts it into fields like your name, job titles, dates and skills. If this step breaks, the AI ranks a messy or half-empty version of you.

Second, the AI compares what it read with the job and ranks applicants. It looks at your skills and experience. It doesn't check whether AI helped you write.

What Breaks Parsing

Greenhouse's help center lists these as reasons a resume may not parse[1]:

  • Files larger than 2.5MB
  • A resume uploaded as an image instead of a document like .docx or .pdf
  • Graphics, photos or word art
  • Tables, headers and footers
  • Your name and contact details in the header, footer or a text box
  • A layout with columns
  • Spaces between letters

This is one vendor's list. Other systems have their own limits, but a resume that avoids everything above is safe almost anywhere.

The Safe Format

  • One column, read top to bottom
  • Name, email, phone and LinkedIn as plain text at the top of the page
  • Standard headings: Experience, Education, Skills
  • Most recent job first, with dates written the same way throughout
  • A .docx file or a text-based PDF. Never a scan or a photo.

Quick test: copy all the text in your resume and paste it into a plain text editor. If the order looks wrong there, a parser will probably read it wrong too.

What Decides Your Rank

Format gets your resume read. Content decides where it lands.

  • Name the skills and tools you actually used, in plain words. Use the job's term for a skill when it's the same thing you did.
  • Spell out each acronym once, for example "customer success (CS)".
  • For each senior role, give numbers and scope: team size, budget, revenue, regions.

One finding is worth knowing. In a 2025 study from the University of Maryland, the National University of Singapore and Ohio State, AI models preferred resumes written by AI. In simulated hiring across 24 occupations, applicants whose resume was written by the same model doing the screening were 23% to 60% more likely to be shortlisted than equally qualified applicants with human-written resumes[2]. This was a research simulation, and it doesn't show that any specific hiring system works this way.

People still read your resume after the software does, and some recruiters reject resumes that look fully AI-written[3]. So use AI to polish your wording, and keep your real facts and your own voice.

For Senior Resumes

  • Two pages is fine when your experience fills them.
  • Lead each role with scope: team size, budget, revenue, region.
  • Keep early-career roles short. One line each is often enough.

FAQ

Is PDF or Word better for AI screening?

Either works if it's a real document. Greenhouse names .docx and .pdf as documents and flags resumes uploaded as images. If you use PDF, check that you can highlight and copy the text.

Can AI screening read a two-column resume?

Not reliably. Greenhouse lists layouts with columns as a reason resumes fail to parse. One column is the safe choice.

Should my contact details go in the header?

No. Put them as plain text at the top of the page body. Greenhouse lists contact details in the header, footer or a text box as a parsing problem.

Do AI screeners prefer AI-written resumes?

One 2025 study found AI models preferred resumes written by the same model in simulated hiring. It was a research simulation, and human recruiters still read your resume, so keep your real facts and your own voice.

How can I test whether my resume parses?

Copy all the text and paste it into a plain text editor. If the order or content looks wrong, fix the layout. You can also run a free ATS check to see how your resume reads against a job.
